Company Policies
Last updated: April 2026
By engaging with Thesis Writing Cafe ("TWC"), the client acknowledges and agrees to all the policies outlined below. These policies are designed to ensure transparency, protect both parties, and maintain the highest standards of service delivery.
Policy 1: Plagiarism-Free Writing
Thesis Writing Cafe maintains a zero-tolerance policy towards plagiarism. Every writer is required to produce original, authentic content for each assignment. The standard plagiarism level is defined as 15% with Turnitin software, with filters set at 1% and double quotation marks, excluding references. All completed papers are screened using reliable plagiarism detection tools before delivery. If any instance of plagiarism is detected, immediate corrective action will be taken, including mandatory revision. Additional plagiarism reduction services can be opted for, aiming for a reduction of up to 10% using Turnitin software with filters set at 1% and double quotation marks. If the work is undertaken with a low margin or no specific requirements regarding plagiarism have been shared, the acceptable level of plagiarism remains at the sole discretion of the company.
Policy 2: Confidentiality and Data Protection
All personal and project-related information shared by the client is treated with the highest level of confidentiality. TWC implements robust security measures to safeguard client data, and access is restricted to authorised personnel only. Client details are never disclosed to third parties unless required by law or with the client's explicit written consent. To maintain clarity and confidentiality, a single point of contact is assigned throughout the entire engagement. All work produced by the company shall remain the property of TWC until full and final payment is received. TWC reserves the right to take any decision regarding the work until the complete payment is settled on time.
Policy 3: Quality Assurance
TWC is committed to delivering work that meets or exceeds the client's expectations. All papers undergo a rigorous quality assurance process, including thorough proofreading and editorial review before delivery. Clients are encouraged to assess the quality of work before commitment by requesting samples of similar projects. If a specific standard is required, reference work should be shared before mind map preparation. Services such as referencing (if opted) will include a maximum of 30 references per 100 pages of work. Formatting according to university guidelines (if opted) pertains to writing and bibliography styles and does not include desktop publishing (DTP) or offset-printable formatting.
Policy 4: Timely Delivery
TWC is dedicated to delivering completed work within the agreed timelines specified in the Statement of Work (SOW). Projects are assigned to writers who can meet the stipulated deadlines without compromising quality. In exceptional circumstances, TWC will maintain open communication to provide updates and discuss solutions. Any delay solely attributable to TWC is eligible for compensation of up to a maximum of ₹100 per day. This is the maximum daily compensation payable for delays, regardless of the nature or duration of the delay. If the client has exceeded the delivery timeline for required materials, comments, or corrections, no compensation will be applicable. Due to such client-side delays, work will be resumed only when a slot becomes available. The allocation of slots shall be determined by TWC's internal process, and no choice of slot will be offered to the client.
Policy 5: Revision and Refund
TWC offers one complimentary round of corrections after delivery of the first draft, unless otherwise expressly stated. All comments and revision requests, irrespective of their number, must be consolidated into a single document, marked as comments within the delivered file, and submitted within three calendar days of receiving the first draft. If comments are not received within this three-day window, the complimentary correction period will lapse, and nominal charges will apply for any subsequent revisions.
When submitting for complimentary revision, only comments will be processed. Any modifications made directly by the client to the delivered content will be ignored or treated as additional scope. Once the complimentary revision is completed, the project will be considered complete. No further corrections will be made after delivery of the final draft. Any additional work following the second draft will incur nominal charges.
Refund Policy: Refund requests are accepted only before the delivery of the first draft. A partial refund may be granted solely at TWC's discretion, and only if TWC determines the reason to be valid and justified. Once the first draft has been delivered, the refund policy becomes void and no refund of any kind will be issued. By proceeding with the engagement, the client acknowledges and accepts this condition.
Policy 6: Fair Use and Academic Ethics
All work delivered by TWC is intended to serve as a reference, guide, or learning aid. The papers are not intended to be submitted as the client's own work. It is the client's sole responsibility to adhere to their institution's ethical guidelines and academic integrity policies. TWC shall not be held responsible for any misuse, improper use, or consequences arising from the use of the delivered materials.
Policy 7: Client Materials and Data Submission
All required materials, documents, reference papers, university guidelines, and data (including numerical data, if opted for analysis) must be submitted by the client before the preparation of the mind map (blueprint). Detailed and written requirements of the work must be sent through TWC's official email or online portal before work commences.
If the required materials are not provided within the designated timeframe, the project timeline will be extended based on the delay and subject to slot availability. TWC is not responsible for timeline extensions caused by the client's delay in providing materials.
Any errors present in the documents initially shared by the client will not be eligible for free amendments. It is the client's responsibility to verify the accuracy of all shared documents before submission. Any changes to documents after submission will incur charges based on the effort involved.
Policy 8: Work Life Stages and Commitment
All projects follow a defined sequence of stages: Commitment of Work, Preparation of the Mind Map, Approval of the Mind Map, Delivery of the First Draft, Corrections, and Delivery of the Final Draft.
The work confirmation date is the date on which the initial payment from the client is reflected in TWC's bank account. The Statement of Work (SOW) carries an expiry date. No commitments will be honoured on an expired SOW. It is the client's responsibility to confirm the work before expiry; however, the client may request TWC to generate an updated SOW.
Once a mind map is generated and approved by the client, any modifications or requests beyond the approved scope will be considered additional work. The entire project will be executed in alignment with the approved mind map. It is the client's responsibility to verify that all aspects of the mind map are reflected in the first draft. Any discrepancies must be submitted as comments within the stipulated correction window. If a committed line item is missing from the first draft and the client fails to notify TWC before progressing to the next stage, the commitment for that line item will be void and marked as completed.
The complete thesis will be delivered on the date specified in the SOW. No early release of the final deliverable will be made. If page count increases during drafting, TWC will inform the client. Approval will be required to increase the pages or adhere to the initially committed number. If the client opts for the original page count, TWC will determine the distribution of pages per chapter.
Policy 9: Project On-Hold and Archival
In the event of non-communication or non-payment from the client beyond the agreed timelines, TWC reserves the right to place the project on on-hold status. Once a project is moved to on-hold, the client will be given a maximum of 7 days to respond with a decision or complete the pending payment.
If no response or payment is received within this 7-day window, the project will be permanently moved to archives. Archived projects are considered closed. Any resumption of work thereafter shall be subject to reassessment, revised timelines, and additional charges on a daily basis as determined by TWC.
The No Objection Certificate (NoC) shall be issued solely upon receipt of full and final payment. No project materials or deliverables will be released for archived projects until all outstanding dues are settled.
Policy 10: Abscondment and Forfeiture
If the pending payment remains unsettled beyond the stipulated period mentioned in official communication, the project will be moved to on-hold status. Projects that remain on hold without resolution will subsequently be moved to archives.
Once a project is archived, all deliverables and associated materials become the sole property of Thesis Writing Cafe and cannot be reversed or released, even upon receipt of payment at a later stage. Please note that once a project is published or processed through plagiarism detection tools, the content is recorded in those databases. A fresh thesis of equivalent effort would need to be prepared independently, as the archived material would no longer be usable.
Policy 11: Communication and Conduct
This agreement is strictly between the client and TWC. No third parties, including academic guides, supervisors, or university representatives, are to be introduced into the agreement during the work period.
If one mode of communication is not acknowledged by the client, TWC will use the official channel (email or official portal) as the binding communication medium. Clients are expected to use TWC's official channels for all project-related correspondence.
TWC reserves the right to cancel the project if the client or their associates violate the code of conduct. In such cases, no refund will be applicable.
If the client fails to respond within the stipulated time on any matter, TWC reserves the right to mark the project as closed with prior notice. Any resumption shall be subject to additional scope and specific conditions as determined by TWC.
Policy 12: Additional Work and Turnaround
Any request that falls outside the original scope of the mind map or the agreed SOW will be treated as additional work. TWC reserves the right to accept or reject specific additional work requests. Accepted additional requests will be fulfilled with a minimum turnaround time of 7 days, which may increase during peak periods.
The term "page" is defined as content in double spacing that fits an A4 sheet with a font size of 12 and heading size of 14.
Policy 13: Payment Terms
Upon initiating the work, a payment equivalent to 50% of the total amount will be required as the first instalment. The remaining balance must be paid before the completion and delivery of the final work. Payment terms are specified in the SOW and must be adhered to strictly.
The No Objection Certificate (NoC) will be issued only upon receipt of full and final payment. No articles, reference papers, or project materials will be shared as soft or hard copies due to copyright restrictions.
Policy 14: Disclaimer and Limitation of Liability
TWC's services are provided on an "as-is" basis. While we strive for accuracy and quality, TWC does not guarantee specific academic outcomes, grades, or acceptance of the delivered work by any institution. Services such as data analysis (if opted) will be performed to achieve the stated objectives; any additional specifications must be shared during mind map preparation.
The client is advised to understand all company policies and review the website thoroughly before engagement. By accepting the SOW, the client confirms acceptance of all policies stated herein. Any changes made to these policies are applicable to all existing and continuing projects as well.
